FREQUENTLY ASKED QUESTIONS

  • We review each application carefully to ensure HEAT WAV features high-quality, original products.

    We look for vendors who present a strong, cohesive brand online and offline, with visuals that tell their story.

    Most importantly, we want each vendor’s creativity and originality to shine.

  • In general, vendor fees are non-refundable. If you’re unable to attend, we can typically apply your fee to a future HEAT WAV event. We review each situation individually, and in cases of emergencies or unexpected circumstances, we do our best to work with vendors.

  • First-time vendors are just as welcome as experienced ones!

    Part of our mission is to create space for emerging artists, makers, and creators to showcase their work.

    If you’re new to vending, please provide high-quality images of your products to help us understand and highlight your brand.

  • The 6% model removes the upfront cost barrier, so vendors can participate without paying out of pocket. It simplifies transactions by letting you run sales through our POS system, making setup and payment easy, fast, and stress-free.

Limited Space
Vendor space at HEAT WAV is limited. To ensure fairness, all interested vendors must apply via this form. After the application period closes, we will review all submissions and select the vendors who will be allotted space.

Vendor Fee & Payment
If your application is approved, you will be asked to confirm your participation and select your payment option:

  • 6% of card sales (via SBR MAG POS)
    or

  • $50 flat fee (for independent processing)

Payment (if applicable) must be completed within 48 hours of approval. If additional time is needed, please contact us so we can work with you — otherwise, your spot may be offered to another vendor.

Event Details & Communication
Once all vendors are selected, we will send an email with all the details needed for setup, event rules, and logistics. Even if you are not selected, you will still receive a notification email.
